At Castello di Petrata, we understand how crucial it is to have all the details organized for your big day. On this page, you'll find a wealth of logistical information to help streamline the planning process. This guide is built on years of experience and the many requests we’ve received from couples just like you.

Every wedding is a unique celebration, so while we’ve addressed common scenarios here, there may be specific adjustments or personalized details for your event. We’re always available to clarify or discuss any unique needs to ensure everything is tailored perfectly for you.

Think of this as your go-to resource for immediate answers to questions you might have as you plan your unforgettable wedding at Castello di Petrata.

HOTEL and ACCOMODATION

CHECK-IN: All rooms will be ready for guests by 3:00 PM. Should you or your guests arrive earlier (no earlier than 1:00 PM), we will gladly welcome you. A dedicated luggage room, along with access to the bar and restaurant, will be available. If guests checking out aren’t using the pool area, it will also be available for early arrivals. Once rooms are ready, check-in can be completed.

CHECK-OUT:  Rooms must be vacated by 10:30 AM (following breakfast). Guests are welcome to leave their belongings in a designated room and continue enjoying the pool or, if applicable, attend a pool party. Bathrooms and restrooms near the pool area are available for changing and freshening up before departure. The venue must be vacated by 2:00 PM.

POOL:  The pool is available throughout the entire stay. Complimentary towels can be collected from reception.

SPA: Our spa offers a luxurious relaxation experience, featuring a sauna, jacuzzi, hammam, emotional shower, Kneipp path, and relaxation room. Guests can enjoy the spa free of charge but are required to book their time slots at least one hour in advance. Towels are provided at no additional cost.

ROOMS AMENITIES: Each room is equipped with air conditioning, a flat-screen TV, a hairdryer, a safe, bathrobes and slippers, and free WiFi access.

GLAMPING: Our glamping area features 20 elegant tents, each accommodating up to two people. Booking all the tents is not mandatory; a minimum of 5 can be reserved. The area includes newly built restrooms with separate facilities for men and women, equipped with showers, changing areas with mirrors, and hairdryers. Each tent has electricity, and towels are available in the restrooms at no charge.

BREAKFAST: Served daily from 8:00 AM to 10:30 AM, breakfast features a rich buffet with homemade desserts, cold cuts, eggs, salads, yogurt, muesli, and more. Guests can also enjoy espresso, Americano, cappuccino, and other hot beverages. Options for gluten-free, vegan, and lactose-free diets are available.
On the wedding day, the bridal party can enjoy breakfast in the bridal preparation room by pre-ordering it the day before.

BAR & RESTAURANT:  Throughout the stay, our bar and restaurant will be open, offering a light menu for lunch and dinner. Guests can pay directly by credit card or use our convenient rechargeable castle card.

TENNIS COURT AND BOCCE BOWLS:  Guests can enjoy our tennis court and bocce area throughout their stay. Equipment is available at reception free of charge.

MASSAGES: Guests will receive an email before check-in with a massage price list and instructions for booking.

The Couple Pays for All Rooms:
Fill out the provided Excel file with guest names, emails, and enter "0" in the cost column. We will send confirmation emails with hotel details directly to your guests.

Guests Pay for Their Rooms (Pre-Selected by the Couple):
Fill out the Excel file with guest details and specify the amount each guest needs to pay (based on either our suggested rates or your chosen fixed rate). We will handle the bookings and communicate details to your guests.

Guests Handle Their Own Reservations:
If you prefer not to manage room bookings, let us know which rooms you’d like to reserve. Your guests can then contact us directly to book at the agreed-upon rates.

WELCOME DINNER and GOODBYE PARTY

WHAT TIME WILL START? You can decide the start time of the welcome dinner; we recommend beginning between 6:00 PM and 7:30 PM, depending on your guests' arrival. For the goodbye party, if you are checking out, it can take place between 11:30 AM and 1:30 PM around the pool. If you’ve planned a 3-night wedding, the third-day event can happen whenever you prefer—during lunch, early afternoon, or even dinner. We can discuss the timing together to fit your plans perfectly.

HOW DOES IT WORK? For two hours, food and drinks are served and included (unless otherwise agreed). After this time, you will remain in the same area where the pizza party took place. The bar will remain open, and your guests can order drinks and pay directly via credit card or the rechargeable Petrata card (unless the couple decides to cover the extra drinks).

MUSIC AND ENTERTEINMENT: During the lunch or dinner, speakers will be available to play music using either your playlist or one of ours. As part of the welcome dinner, there is also a duo featuring an accordion player who will perform traditional Italian songs for about one hour. For a pool party, we provide inflatables to enhance the fun atmosphere.

TRANSFER

WHEN DO TRANSFERS START ORGANIZING? All transfers begin to be organized one month before the wedding. At this time, we will have finalized details about the number of people, arrival airport, schedules, booked accommodations, and more. There is no need to arrange transfers before this point..

HOW WORKS? 

If the couple wishes to organize transfers for their guests, we can handle this through a trusted taxi company equipped with vans (up to 8 people) and buses (from 15 to 50 people).

The company can arrange transfers for:

  • From ROME/FLORENCE/PERUGIA airports to Petrata, Assisi, and all accommodations (and return).

  • From Assisi and nearby accommodations to Petrata for the wedding day and other events (welcome dinner, wedding day, goodbye party).

  • ​

Departures typically take place 30 minutes before the event starts, directly from the guests’ accommodations. Return transfers are flexible and arranged to accommodate all guests' needs. For example, on the wedding day, we can provide a range of return times.

TAXIS IN ASSISI? 

Assisi is a bustling tourist destination, so taxis (NO UBER) are readily available and can be arranged by your guests via their hotels or in the main squares. The same applies to Assisi train station and Perugia airport. However, there is no night taxi service in Assisi.

If your guests plan to take a taxi to the castle, they must arrange their return trip in advance with the same driver. The castle reception is unable to book taxis in the evening or at night unless pre-arranged.

By following these guidelines, your guests will have a smooth and stress-free travel experience for your wedding celebrations.

REFFERAL COST: 

To provide an accurate quote, we need specific details because transfer costs depend on factors like the departure location, number of people, and return time (especially late-night returns). Below are reference prices for the most common daytime transfers using 6/8-person vans:

  • From Assisi to Petrata: €35-40

  • From Perugia Airport to Petrata: €70-80

  • From Assisi Train Station to Petrata: €40-50

  • From Rome Airport to Petrata: €400-450

  • From Florence Airport to Petrata: €450-500

Please Note: These rates do not apply to wedding-day transfers, as they involve longer waiting times and higher costs for nighttime returns. We will provide a specific quote for your wedding day.

ABOUT SHIPPING and OWN ALCOHOL

SHIPPING You are welcome to send your wedding materials directly to the castle. Please ensure the materials arrive no earlier than one week before the wedding. If there are any customs fees, kindly inform us in advance so we can manage them effectively.

OWN ALCOHOL: It is not allowed to bring your own alcohol unless explicitly agreed upon with Petrata. This includes both the wedding couple and guests. Please make sure to communicate to your guests that consuming outside alcohol is not permitted in the swimming pool area, garden, or during any organized events.

FOOD and DRINKS

FOOD: 

Before the wedding, you will have the opportunity to enjoy a food tasting during one of your visits to the castle.

  • During the tasting, you can select and sample different dishes, including pasta courses, first courses, and main courses, to finalize your menu for the wedding day.

  • You will also taste wines to pair with your selected dishes, with guidance from our sommelier to help create the perfect pairing.
     

If it is not possible for you to visit before the wedding, we will arrange virtual calls to discuss the menu and wine selections. Additionally, we can assist with finalizing these details upon your arrival before the wedding day.
 

Important:

  • One month before the wedding, please provide us with a list of any dietary restrictions, intolerances, or special food preferences (e.g., vegetarians, vegans, gluten-free, lactose-free).

  • We will then prepare custom menus for each guest, ensuring all dietary needs are accommodated.

DRINKS: 

Drinks are included in all our proposals, and details about the types and quantities of beverages included can be found in the food brochure. Non-alcoholic and gluten-free beer are always available.

Please note again that outside alcohol is not permitted.

KIDS: 

We take special care to ensure our youngest guests are also delighted with their meals:

  • For children aged 3 to 10, we prepare simple, kid-friendly menus such as pasta with tomato sauce, cutlets, nuggets, and chips.

  • For children under 3 years old, we are happy to assist parents in heating or preparing their own food as needed.

  • We also accommodate any dietary restrictions for children, ensuring all intolerances or preferences are met.

With these thoughtful considerations, we aim to provide an exceptional dining experience for all guests, no matter their age or dietary needs.
